From a document to a decision.

Upload a SaaS contract, confirm the essentials, and stay ahead of its next renewal.

No AI suggestion? You can still file it.

Choose Add contract and upload the original. The review page lets you complete missing details and save the contract with its document in one step. In the inbox, use Review & file for unfiled items; use Suggestions for updates to an existing contract. Rejecting a proposal preserves the original document; it does not accept or cancel an agreement.

Who can see this workspace?

Personal: its owner and app admins. Teamspace: explicit members — owners manage access, editors maintain records and viewers read and export. Restricted records are limited to their named people and space owners, all within that space. Active Hub owners/admins and Hub-assigned Contracts Admins have access to all content and settings. Archived spaces remain readable but cannot be changed.

Keep a second owner on a teamspace. These are application access controls; hosting controllers and your configured AI provider are outside that boundary.

What does AI read?

With the Hub AI lane enabled, original PDFs and supported images go to your organisation’s configured AI provider for visual reading, alongside message context. This includes scanned pages, receipts and purchase screenshots. Text quotes are checked against extracted text; visual quotes are marked as AI readings for you to verify. Suggestions cannot sign, pay, renew or cancel anything.

When will Slack remind us?

Settings → Renewal reminders starts at 90 days before renewal or expiry, with 60/30/7-day follow-ups by default. Earlier cancellation deadlines are also checked 90 days ahead. Choose the owner, workspace owners, Hub admins/owners and optional groups. Recipients must already have contract access. The Hub notify lane, app URL, Slack bot and recipient DM preferences must be configured. Checks run every six hours after a fresh directory update.

What do the cost totals mean?

Annual run rate annualizes recorded active subscriptions. Historical accrual estimates costs across known dates and saved price changes, capped at today. Recorded invoices/receipts are separate and do not prove payment. Currencies and tax bases stay separate; missing values are disclosed. Open Management report, pick a year, then download CSV or print/save PDF.

Can AI look up missing renewal terms?

When terms are absent, AI can identify an official vendor page and read its public text. You can enter a direct URL. Source and retrieval time stay visible, and nothing is applied until you choose Use as a reviewed suggestion. Current public terms may differ from your agreement; blocked or unreadable pages leave values unknown.

What about software keys and group assignments?

License keys have a separate inventory with hidden values and audited reveal. Values are not sent to AI or included in ordinary exports. People and groups come from Hub. Group assignments keep the roster current without granting access to contracts or provisioning vendor accounts. Other employees cannot access unshared personal content; app admins can.

How do documents get here?

Upload a PDF, image or text file under Add document, or paste text. The AI reads the original pages, including scans, and prepares the details for review. Nothing is filed until you confirm.

Can I delete documents or records?

Use Delete item on an inbox document or Delete record on a saved record. It moves to Trash in the same workspace and can be restored. Deleting a record also hides its linked originals and stops its reminders. No file is permanently erased. Workspace permissions still apply.

What if a colleague changes the same contract?

Saves check the record’s revision. If someone changed it while you were reviewing, reload and compare before saving. Decisions, source evidence and record history stay available.

How do I import or export records?

Settings → Import & export accepts mapped CSV rows with a preview before writing. Existing records are not overwritten. CSV export protects against spreadsheet formulas. Workspace JSON includes visible records and metadata; download document files separately. Older records may be in Existing contracts, with their previous access preserved.

What limits should I know?

Files: up to 1.5 MB each, 10 per document. Keep originals below 1.4 MB for AI reading; larger files may need compression because encoded requests have a separate limit. PDF, PNG, JPEG, WebP and GIF use the Hub vision model, or its main model if no separate one is set. That model must support the file type. Original PDFs are sent complete; supplementary text is bounded. Encrypted, damaged or unreadable documents can still require a clearer copy. Review small print, dates and signature pages. An app admin configures the daily AI budget. Reminders use a fixed UTC offset; daylight-saving changes are not automatic.
